Guidelines

Registration to the Nordic Oikos 2016 conference and payment of the registration fee gives you the right to present your work, attend all presentations by other participants, enjoy coffee and other refreshments served during the conference, as well as lunches. Attending the conference dinner is charged separately and is optional. You can also arrange your accomodation as part of the registration process. If you want to arrange your accomodation yourself then please consult the Travel Information.  Conference registration and payment of the fee are done electronically following the link below.

If you want to present your work at the conference, you need to separately submit an abstract and other details using our abstract submission system (link below). 

On the basis of your submitted abstract, presentations will be selected for oral and poster presentations by the organisers.


Conference dinner

On Wednesday 3 February, a conference dinner is arranged in the micro-brewery and restaurant Koulu.  "Koulu" is the Finnish word for school, and this historic building originally housed a school. This "school theme" is carried through to today in the layout of the building and by serving their own bear with names like "Principal" and "Lecturer". During registration, you can opt for joining this conference dinner. The dinner includes several courses and two glasses of wine. The cost of the dinner is €55.

 


Per Brink symposium

You have the option to register for the Per Brink thematic symposium as part of your registration to the Nordic Oikos conference. The PB symposium is held prior to the Nordic Oikos conference (on Monday 1 February).

 


 

 Important dates

  • Abstract submission closes 29 Nov 5 Dec. 2015. You will be informed about the outcome of abstract selection on 11 Dec 2015 at the latest
  • Early-bird registration fee (€120) is applicable until 20 Dec 2015. After that, late registration (€180) is accepted until 17 Jan 2016
  • Ph.D. students pay a reduced registration fee of €70. You are eligible for a Ph.D. student fee in case you are a Ph.D. student during the period the conference is held 

  


Abstract submission

A separate system is used for abstract submission which you can access by following the link below. Note that you first need to register as a user before you can submit your abstract and other details, amongst these:
  • Abstract with a maximum of 250 words
  • A short synopsof 130 character including your surname. This will together with the hashtag "#Oikos16" be tweeted at the time your presentation starts. You are further expected to consent to information on your presentation being dispersed in social media. Please note that if you are unwilling to provide this synopsis, you can write "NA" for the short synopsis (you still need to give your consent), in which case no synopsis will be tweeted about your presentation by the organisers.   • You need to indicate whether you are only interested in giving a poster or oral presentation (select "poster" or "oral") or whether you would like to have your presentation considered in first instance for an oral presentation, but will in case your abstract is not selected for an oral presentation agree to present your work in a poster session (select "either")

 

Abstracts of registered participants will be published in a PDF document on the conference web site after conference registration closes (i.e. in mid Januray 2016)

Conference registration

The registration system will ask you for your personal details, and depending on your choices (early / late registration, Ph.D. student, inclusion of conference dinner and PB symposium), you will be charged a certain amount
As part of your registration, you can reserve hotel accommodation, but payment of the accomodation is done at the hotel. For questions concerning registration, payment, and hotel reservation, please contact the congress office directly (contact info below) 
 

Accomodation

A quota of rooms has been reserved for the conference participants in three Turku city centre hotels: Original Sokos Hotel Hamburger Börs, Radisson Blu Marina and Scandic Julia. Please see the conference map for the locations. The reservations will be made on “first come, first served” basis. Please note that the hotel quotas are valid until 22 December 2015. After that we cannot guarantee the availability of the hotel rooms, but will assist you in finding accommodation. The hotel fees include breakfast, service and VAT.
All hotel fees are payable directly to the hotels.

Please mark your hotel reservation on the conference registration form. Your reservation will be confirmed together with your participation. Kindly inform the Congress Office of any changes in your accommodation reservation (
congress-office@utu.fi).

Scandic Julia

Hotel Scandic Julia is a modern hotel in the centre of Turku, near the shopping streets and the river Aura. Hotel Scandic Julia was completely renovated in June 2011. When staying at hotel Scandic Julia you have full access to the hotel's gym and sauna. The hotel features air-conditioned and comfortable hotel rooms, and a bistro style restaurant. For your convenience, there is a wireless internet connection throughout the hotel.

Room reservation conditions

Reserved room will be held until 6 pm on the day of arrival. The hotel is entitled to give the room to another guest after 6 pm. If you plan to arrive after 6 p.m., kindly send your credit card information through our Secured mail system to Congress Office to ensure that the room will be held until your arrival. You can fill in the information on the authorisation form and attach it to the secured email. Note that the hotel will charge your card only in case of late cancellation or no-show.

Room cancellation

A reserved room may be cancelled free of charge 48 hrs (2 days) before the arrival. The hotel has the right to charge the guest for cancellations made later than 48 hrs (2 days) before arrival or no-shows.

Methods of payment for conference registration

1. On-line credit card payment with Visa, Mastercard or Eurocard. From the on-line registration form you will be forwarded to PAYTRAIL to make a secure payment

2. Bank transfer to the University of Turku, IBAN account number: FI05 8919 9710 0009 63, SWIFT/BIC: DABAFIHH. Address: Danske Bank, Hiililaiturinkuja 2, P.O.Box 1561, FI-00075 DANSKE BANK, Finland. Make sure that the code 2600352721 and your name appear on the MESSAGE FIELD of the bank transfer.

3. An invoice will be sent upon request only. Note: Invoices can be sent only to organisations, not to private persons. Please note that an invoicing charge of 15 EUR will be added to all invoices.

4. Group invoice: Several participants to be invoiced in the same invoice. Please contact the Congress Office (congress-office@utu.fi) and provide the names of the participants to be invoiced. Please note: an invoicing fee of 15 EUR will be added to all invoices. Invoices can be sent only to organisations, not to private persons.

All payments must be made in euros (EUR). 

Cancellation

Cancellation of registration must be made in writing (letter, fax or email) to the Congress Office before 4 January 2016. No fees will be refunded after this date. A processing fee of EUR 50 will be deducted from all refunds.
