Using your own car

Travel reimbursement for using your own car can be done as a per kilometre payment if:

  • public connections are inoperative
  • public connections cannot be used due to conflicting time schedules
  • it is more economical to use your own car as compared to public transportation
  • it is necessary for the transporting of teaching materials or equipment

A request for the permission to use your own car must be made for each trip using the application for travel authorisation. The approving authority of travel can give temporary permission for the use of one's car, in case it is the best form of travel in accordance with what expenses are to be reimbursed due to the cost of the trip.

Driving log

A driving log must be kept when using your own car for business travel. The following information must be recorded in the driving log for each trip made when using your own car:

  • the purpose of the trip
  • the starting and ending time
  • an outline of the travel route driven
  • the reading of the milometer from the start until the end of the trip
  • the length of the trip

The number and names of other passengers, if their transportation is also included in the calculation of reimbursement, must also be recorded in the driving log.
