University student data system - the study register

Studies completed at the University of Turku are recorded in the university student data system i.e. the study register. The student's personal data and contact information, right to study, registration status, student exchanges, and degrees completed at the University of Turku are also recorded.

According to section 26 of the Personal Data Act 523/99, everyone has the right to know about their personal information that is entered in the register. New students of the University of Turku receive a printout of basic information from the study register after registration. From this, they can see their student number and all the information that has been recorded in the register. Other transcripts which can be printed include a certificate of registration with the university, a status and scholarship transcript for students going on an Erasmus exchange, and a transcript of records.

Student number

Every student of the University of Turku is given a personal student number when registering for the first time. Each student has only one number which remains the same even though the right to study may change. The student number is needed when registering for an exam and e.g. for viewing exam results posted online.

Recording studies in the study register

Completed studies are recorded and possible mistakes corrected at the department responsible. Entries at the Faculty of Law are done at the faculty office. Each student is responsible for making sure that the information on completed studies in the student register is up to date. This information is used, e.g., for granting financial aid.

Studies completed elsewhere are recorded in the university study register if they are included for the completion of a degree at the University of Turku. These studies are marked with in the study register with an asterisk (*), along with the date of completion and the institution. The actual date for studies completed at another institution is important, e.g., for finicial aid.

According to the JOO agreement, information on studies completed at Åbo Akademi University or Turku School of Economics are transferred automatically to the University of Turku student register five times a year. There are no automatic transfers from the University of Turku to Åbo Akademi University or Turku School of Economics; you would need to contact the student services unit of the respective university for instructions.

Studies completed at other universities, institutions of higher education or Open University are transferred to the University of Turku student register only with request from the student. For more information, contact the respective faculties or departments.

Transcript of records

All of a student's completed studies in the study register are shown in a transcript which can be printed out and used for, e.g. when applying for grants or a job. Transcript from Nettiopsu is the most convenient way to check your own studies in the study register. It is often valid for various applications, e.g. when applying for the University of Turku administered scholarships and grants or for funding for an exchange programme.

The transcript is also available as a hard copy printout. A signed and stamped transcript is available at department and faculty offices and Student and Admission Services. The transcript will be given to the student in question with proof of identification. Another person asking for someone else's transcript needs to show a letter of attorney. Students should avoid making unnecessary transcript requests for, e.g., checking single exam results because they can be viewed on Wentti. (see the section Wentti). Transcripts can also be photocopied.

If you want a transcript by post, you must send a stamped, self-addressed envelope (first class postage stamp) to: Student and Admission Services, University of Turku, FI-20014 TURUN YLIOPISTO. The envelope should be accompanied by a cover letter with your student number and date of birth.

NettiOpsu

NettiOpsu is an electronic study register service for University of Turku students. Students may log in to NettiOpsu by using a University of Turku Computing Centre issued user ID and user password (see Computing Centre). Log in to NettiOpsu at http://nettiopsu.utu.fi.

Students may register with the university via NettiOpsu if there are no fees (i.e. no Student Union or re-registering fees). Students can also register for exams and update their contact information through NettiOpsu. Services that will be available soon through NettiOpsu are e.g. registering for courses and checking transcripts. All NettiOpsu services are available in Finnish and English.

Wentti - online exam results

In addition to notice boards, exam results are published on the university's internal intranet network. The virtual exam result service, Wentti, can be found on the Student Services webpages www.utu.fi/opiskelu/wentti/en.html. Accessing these pages requires that the student has a valid user ID issued by the University of Turku Computing Centre. See Computing Centre.

Results are published in Wentti by course, not by individual student. Test results are transferred daily from the study register to Wentti and they can be accessed for two months. Students' names are not visible in Wentti, only their student number. Students must inform Student Services if they opt to not have exam results published on Wentti.

Registration certificate

The purpose of a registration certificate is to prove that a student is registered at the university either as attending or non-attending. The certificate shows the semester when the student first registered as well as the student's present faculty, target degree, degree programme and major. The certificate is available in both Finnish and English.

The registration certificate is valid when applying for e.g. accommodation, the housing supplement, day care for children, daily allowances and various compensations and also in situations which do not specify what type of certificate is needed. A registration certificate can be obtained from Student Services and the faculty offices as well as from the departmental offices in Rauma and Pori. The certificate will be given to the student in question with proof of identification. Another person asking for someone else's certificate needs a letter of attorney or that person's student card, or else such a person must know the student's personal information and study details.

Certificates concerning the progress of studies

If a certificate is needed, explaining in detail the extent of studies, the number of hours in a course, the status of a course, the estimated time of graduation, etc., it must be requested from the Head of Academic and Student Affairs at each faculty. This type of information is often requested, for example, by the armed forces, the Social Insurance Institution of Finland (Kela) and unemployment benefit funds in various fields.

Degree certificate

Degree certificates are issued by the faculties. Instructions concerning graduation can be found in the study guides and on the websites of the faculties.

Diploma Supplement

A Diploma Supplement (DS) is an appendix to a degree certificate meant for international use. It contains additional information about the respective degree, the institution and the school system in the country where the degree certificate was issued. The Diploma Supplement is a part of the Europass portfolio. See Europass.

The University of Turku furnishes a free of charge, English-language Diploma Supplement with the degree certificate, without a separate request from the faculty.

Europass Mobility

Europass Mobility is a document in the Europass portfolio for the pan-European portrayal of personal know-how. Broadly speaking, training periods within the EU and ETA countries are to be included in the document, but the University of Turku plans on possibly including other completed and recorded exchanges or job training in the certificate as well.

The University of Turku has taken Europass Mobility in use in spring 2008. A student's prior exchanges recorded in the study register will also be seen in the document, so long as the student has supplied certification on the exchange/internship abroad to Student Services or the International Office. It is therefore extremely important that the student verifies the dates of study in the certification given by the place of exchange or internship. On the basis of the dates in these records, the exchange can be recorded in the University of Turku study register for granting Europass Mobility.

If the purpose of the exchange was to, e.g. collect material for a thesis, travel documents will count as certification. If the student however was meant to have been registered at a local university, certification will be need from the institution for Europass Mobility. The beginning and ending dates of the exchange is required for certification.

Only exchanges which were carried out when the student had been registered with the University of Turku can be included in Europass Mobility. Europass Mobility is granted free of charge at the student's request.

Change of name or address

The University of Turku must immediately be notified of a change of name or address. Changes of address, phone number, or place of municipality as well as the status of the disclosure of personal information can be made through NettiOpsu. Changes in name and nationality must be done at Student Services. Changes can also be made by e-mail by sending your information and student number to ilmoittautuminen[at]utu.fi.

This information must be kept up to date for the purpose of study-related data. In addition to Student Services, the information in the study register is used by the faculties, departments and the Student Union of the University of Turku. Furthermore, name and address information is transferred to the database of the University of Turku Library. The University of Turku study register is not updated from the national population register database, therefore students themselves must notify the university of address changes.

Use of personal information

Students' names and contact information can be disclosed from the student register for academic research. The information is not divulged for direct marketing purposes.

In addition to this, students may allow or refuse the disclosure of their information to persons or organisations outside the university for study-related purposes. The disclosure of information includes licensed circumstances for such purposes as making out questionnaires and polls, and giving information to organisations, foundations and authorities for posting study-related information (e.g. the Student Union, professional organisations).

The option to allow the disclosure of personal information is found on the registration form, from which the information is transferred to the study register. The publication of exam results in Wentti is allowed (the default value) unless it is explicitly requested otherwise. If you opt not to disclose personal information or have your exam results published on Wentti, changes can be made via NettiOpsu, by e-mail at ilmoittautuminen[at]utu.fi or in person at Student Services. When sending e-mail, always include your student number.
