Publishing and distributing the Doctoral dissertation

An online publication archive has been introduced at the University of Turku beginning 1 September 2007 at publications.utu.fi. The university recommends that all dissertations and other theses be first and foremost be created digitally and published in this archive.

Publication agreements

The defendant and the university will draw up a contract on paper on the digital publication. The contract for the dissertation to be published in the University of Turku series (Annales Universitatis Turkuensis) will be made at the University Library and will be signed by the Chief Librarian on behalf of the University of Turku. The rights, responsibilities and obligations of both parties will be affirmed in the agreement. The basis for the contract is that authors will be able to preserve the copyrights on their publications. It is the responsibility of the writers themselves to clarify the copyright of their work to be published in the archive.

Digital publishing/printing of dissertations

The work my be published as an online dissertation and it is not required to be printed for the defence. However, due to the obligation of the university archive and information, there needs to be at least three printed copies for filing: that is, one for the library, one for the faculty and a third for Student Services to post on the university notice board. The defendant is responsible for providing the library, faculty and Student Services with their work. The copy for the library must be submitted to the University of Turku Library, Julkaisuarkisto, FI-20014 TURUN YLIOPISTO.

Procedure

The library takes care of filing a digital dissertation (publications in both the Annales series and other series)  in the publication archive. Before the dissertation can be archived, the publisher must send information on its copyrights to the library as well as draw up the publishing contract, with which the author gives permission to publish his/her work in the archive. If the dissertation has been published outside of the Annales series, the author must obtain permission to publish the work online from the publisher that printed the original work.

Articles that were previously published elsewhere, which will accompany the dissertation in a so-called article-based dissertation, will not be published online. Futhermore, the cover of the book will not be online. In addition to the actual dissertation, the title page and its reverse side (which will include publishing information) will be available online. The dissertation must note the possible original articles which will not be available in the final online version.

The serial number of both versions plus the ISSN number will be the same. However, each version will get its own ISBN number. Both ISBN numbers must be shown on the reverse side of the title page.

The online version (PDF file) can be submitted to the library e.g. by CD/DVD or electronically, preferably though the Hermes file uploading service (see the Computing Centre instructions on using the Hermes file uploading service). When sending the file by e-mail through Hermes, the address to be entered in the Recipient field is ty-annales(a)utu.fi. You can also set up an alternative way to submit your work (with a USB memory stick/card) with a publication archive administrator (ty-annales(a)utu.fi, tel. (02) 333 5870). CDs and DVDs will be come property of the library whereas memory sticks/cards will be returned to its owner.

If the dissertation will be printed, the minimum amount of copies is defined in appendix 1.

Time frame

A dissertation for online publishing must be submitted to the Main Library in digital form (PDF file) 15 days before the public defence. The book will be published in the archive no later than 10 days before the defence. An errata page can be appended to the book in the archive. This page can be submitted within one month after the dissertation has been approved.

If the dissertation will be published only as a printed work or as both a digital and printed version, the printed version must be submitted to the university 10 days before the defence (see appendix 1).

Publishing support

The university may grant publishing support for the publication of a dissertation. Please contact the faculty for the details of how to apply for publishing support.
