Purpose of processing data, origin of the data and the legal basis for data processing

The purpose of the library customer satisfaction survey is to collect the views of Turku University Library customers about the services offered by the library. Based on the replies the aim is to form an idea of how the customers feel about the library services and how the services ought to be developed.

To send the survey, the email addresses of the University of Turku personnel and students and the customer register of University of Turku are utilized.

The e-mail addresses of external customers are collected from the library customer register. The survey is also open to all through a public link.

Answering the survey is voluntary. Registration is not required and strong identification data is not collected. The identity of the respondents can neither be deduced nor determined from the answers directly.

The respondent can choose what information he or she wishes to bring up. For identification questions related to the respondent's background, there is an option cannot say or not relevant to me. In addition, the introduction to the survey instructs respondents that no personal data or sensitive information should be included in open responses.

The answers to the survey will be analysed both quantitatively and qualitatively so that the background information about the respondent can be taken into account in the analysis (the library unit most used by the respondent, the customer group, the organisational unit, the age group, the purpose of the library use). If strong identifiers appear in open responses, they will be deleted.

The results of the survey may be publicly reported, and texts appearing in open answers may be quoted in part or in full for the reporting, the informational or the marketing purposes of the library, however, in such a way that all possible information leading to the identification of the respondent is removed.

The processing is based on point (a) of Article 6.1 of the EU General Data Protection Regulation: the data subject has given consent to the processing of his or her personal data for one or more specific purposes, http://www.privacy-regulation.eu/en/6.htm, the Data Protection Act (1050/2018, https://www.finlex.fi/en/laki/kaannokset/2018/en20181050).

Categories of personal data processed

The following information about the data subject is stored in the register: the library unit most used by the respondent, the customer group, the organisational unit, the age group, the purpose of the library use and views on the services of Turku University Library.

Processors of personal data

The answers to the survey are handled by the staff of Turku University Library bound by confidentiality.

The survey responses are collected and processed using the REDCap software used by University of Turku, in which case the collected data will remain in the possession of the University. The material can be analysed using software provided by University of Turku.

The material is stored on a web disk managed by the University of Turku, to which access is restricted to the library staff.

The university's IT systems and services are protected from unauthorized access in accordance with good practices in the field. Their functional capacity has been ensured to the extent necessary and their life cycle is controlled.

Recipients and categories of recipients of personal data

Data will not be transferred or disclosed outside University of Turku.

Information on data transfer to third countries

Personal data will not be disclosed outside the EU or the European Economic Area.

The period of retention of personal data or criteria for determining it

The survey responses are stored permanently.

Rights of the data subject: right of access, right of rectification, right of deletion, right of restriction, right of objection

The respondent's data cannot be combined with the answers, so the rights of the data subject under the EU General Data Protection Regulation will have to be derogated from in the following respects:

  • Right of the data subject to withdraw consent
  • Right of the data subject to check the data concerning him/her (Article 15)
  • Right of the data subject to rectify his or her data (Article 16)
  • Right of the data subject to the erasure of his or her data (Article 17)
  • Right of the data subject to demand the restriction of processing (Article 18)
  • Right of the data subject to object to the processing of his or her personal data (Article 21).

Origin of data

To reach the respondents, the email address list of University of Turku and the customer register of Turku University Library are used. Other data is collected directly from the respondents.
