Evaluation of Turku School of Economics as part of the international AACSB accreditation process (unofficial translation)

Purpose for the processing of personal data 

The data is collected for the purpose of evaluating the performance and impact of the Turku School of Economics (Academic performance and Professional and Pedagogical Engagement  activities). The information collected will be used in the preparation of the Continuous Improvement Review required for international AACSB accreditation and in the strategic planning and development of the School of Economics. The data is collected through the University of Turku Research Information System (UTUCRIS), Personal Information System (PERSONEC), Student Register System (NettiOpsu, Peppi) and Work Plans (Sole TM). In addition, for the purpose of the evaluation, similar information will be collected and recorded from the curricula vitae of the visiting teachers (CV and publication data).

The information is handled by the staff of the University of Turku, whose job is to process this information. Permission to process personal data comes through job duties.

Legal basis for processing data

The processing is based on the core obligations of the University as laid down in Article 2 of the Universities Act (558/2007) and development of its operations. In addition, based on the legitimate interest described in Article 6.1 (f) of the Data Protection Regulation, the information will be used to demonstrate the qualifications of teachers and researchers at the School of Economics as required by international AACSB accreditation.

Information content of the register

The information to be collected for accreditation documentation is:

  • The first and last name of the employee (teaching and research staff), subject / unit, highest completed degree, year of completion of the degree (PERSONEC).
  • Employee's (teaching and research staff) publication and activity information (UTUCRIS).
  • Information on the courses taught by the employee (teaching and research staff), and volumes of teaching and guidance (NettiOpsu, Peppi, UTUGradu, separate Webropol survey, and Sole TM).

Storing and retention of personal data

The School of Business is re-accredited every 5 years. The Peer Review Team uses the performance evaluation data from the five preceding years. In addition, under AACSB rules, they have the right to request older information to support the assessment. The retention period of the data is therefore 15 years. The information collected and compiled for the accreditation documentation is stored on the University of Turku in a secured internal folder and Seafile cloud services owned by the University of Turku.

Publicity or Confidentiality of Information

The data collected for the Continuous Improvement Review report required for accreditation is submitted to the Continuous Improvement Review Committee (CIRC) and the Peer Review Team (PRT). Accreditation organization AACSB International, on whose behalf both CIRC and PRT act, has taken note of and is committed to complying with the new European data protection regulations: https://www.aacsb.edu/privacy/gdpr

Performance evaluation data of the employees (Academic performance and Professional and Pedagogical Engagement - activities) is provided to  Head of Units and supervisors. In addition, the Academic Performance Evaluation will be published in the workgroup site of the Turku School of Economics. Public presentations of the effectiveness and impact of Turku School of Economics do not reveal personal information.

Rights of the data subject

The data subject has the right to access and correct the personal data, and right to contact Data Protection Ombudsman if the person considers that the law is broken in the processing of their personal data.

Personal profile information, publication information, and parallel recordings of publications stored in UTUCRIS are public. When entering UTUCRIS, the individual can also make public other personal information stored in the system. A person has the right to delete or request the removal of his or her publicly visible information if they are not specified in the University of Turku Personnel Search and Expert Register.

The individual can see the information and attachments that he or she has stored in UTUCRIS and the data imported from other systems into the system. If necessary, the individual can edit and correct some of the information himself. Some of the information is corrected to the source systems at the person's request.

Security breaches in UTUCRIS can be detected and reported in accordance with the regulation. The log information collected from the use of the registry is used to monitor server and communication capacity, and to identify technical issues and abuses. Access to log information is permitted to persons involved in resolving the issues described above.
