The doctoral researchers of ImmuDocs doctoral programme pursue a doctoral degree either in the Faculty of Medicine, Faculty of Science, Faculty of Technology or Turku School of Economics.

UGIS - The Information System of the Graduate School

UGIS is the information system of the University of Turku Graduate School. The portal contains information regarding the doctoral training of each doctoral candidate and instructions.

Monitoring of progress and Follow-up committee meeting instructions

All doctoral researchers working in the doctoral education pilots are required to participate in the enhanced monitoring of progress during their doctoral education.

The monitoring consists of

- Follow-up surveys and annual reports

- A follow-up committee meeting on a regular basis

In the follow-up surveys, the doctoral researchers answer questions in the UGIS portal related to the phase of the doctoral dissertation work where they are expected to be. The UGIS instructor must also answer their part in the survey. The supervisor's response section will open after the doctoral researcher has first answered their own questionnaire and sent a message in UGIS to the supervisor using “leave message"-button. In addition to the enhanced follow-up surveys and follow-up committee meetings, the pilot doctoral researchers will respond to the annual reporting common to all UTUGS doctoral researchers starting from January 2026. ​

The enhanced monitoring of progress aims to ensure that the doctoral researchers' research work progresses smoothly and that, if any problems arise, they are dealt with quickly.

 The answers to the follow-up questionnaires and annual reporting are reported to the pilot and doctoral programme. A summary report of the responses is also informed to the faculty, the graduate school and the university's steering group.

 The first response period for the follow-up survey is January 15- March 31, 2025. Those who started their doctoral research in the autumn term are asked to answer the survey as soon as possible.

 The doctoral researcher will be sent a message from the UGIS portal containing a link to their survey on 15 January 2025. After the doctoral researcher has answered the survey, they should send a message in UGIS to the supervisor using “leave message"-button which ables the supervisor to answer the survey.

 

Follow-up group committee and meetings

 All pilot doctoral researchers must have an appointed monitoring group in accordance with the decision of the vice-rector of the university. Monitoring groups must meet regularly, every 6-12 months, depending on the pilot (In ImmuDocs every 6 months). The doctoral researcher convenes the monitoring group.

In the UGIS portal a more detailed description of the monitoring group gatherings and the objectives of the meetings can be found. In addition, attached here is ImmuDocs follow-up group meeting info. Read it carefully and act accordingly. Arrange a follow-up group meeting after you have answered the follow-up survey, preferably in February but latest in March.

The doctoral researcher writes a memo (in free form) of the follow-up group meeting and adds it to the UGIS portal under Doctoral education pilot / Follow-up group meetings / First follow-up group meeting (Q1 2025). The follow-up group fills in the Follow-up group report on progress and the doctoral researcher adds the report also to UGIS.

ImmuDocs Student Council
ImmuDocs Student Council organizes various kinds of events and get-togethers monthly to doctoral researchers with the aim to strengthen connection and collaboration within the ImmuDocs doctoral community.
