Sponsor Manual for Nordic Law Libraries Conference 2025

About the event

• The total number of people at the event will around 80 (incl. sponsors, speakers and organisers). About 65 attendees work at libraries or similar professions.
• Delegates include professionals from university and parliamentary libraries, as well as courts of justice, law firms and the private sector.
• The event is organised every three years. The next conference will be held in Sweden in 2028.

Sponsor stands

• Sponsor stands will be located in the ground floor hall of the venue, which is accessible to university staff, students, and the general public during the event. Stands will be located against a wall.
• A locked room will be available for storing materials and equipment overnight.
• Each stand includes a table (140*70 cm) and chairs. Please inform us in advance if you require additional furniture.
• Stands do not include shell schemes.
• Poster walls are provided on request. The poster walls are two-part, and they can accommodate two posters per sponsor. The maximum size for the posters is vertical A0. Please inform us if you need a poster wall at nll2025@utu.fi by 30 April.
• You may display a roll-up banner at your stand. The Gold Sponsor package includes displaying a roll-up banner also in the lecture hall.
• Structures for hanging banners are not provided.
• Screens are not provided for stands. If you wish, you may arrange for stands at your own cost, for example via Rajupaja company (myynti@rajupaja.fi). Please inform us of this at nll2025@utu.fi.
• Power outlets will be available at each stand. They are suitable for plug types C and F, so you may need to bring an adapter for your devices.
• Free wireless networks are accessible on-site: Eduroam and UTU Visitor.

Set-up and dismantling of the exhibition

• Set-up: Tuesday, 6 May, from 12:00 to 16:00, or Wednesday, 7 May, from 8:00 to 9.00.
• Dismantling: Friday, 9 May, from 13.30 to 16.00.

Shipping physical materials

• Promotional materials can be sent to the event venue in advance. These can include materials to be displayed at the exhibition as well as branded merchandise for the conference bags.
• Please ensure that the package is clearly labeled as containing promotional materials for the Nordic Law Libraries Conference.
• The designated contact person for shipments is Päivi Letonsaari, nll2025@utu.fi.
• Please let us know in advance:
  • What materials you are sending,
  • Which of the materials are to be displayed at your table and which are meant for the conference bags, and
  • How many packages you are sending.
